POSITION SUMMARY:

The Staffing Coordinator will maintain administrative systems and business processes that allow effective management of recruitment and internal staffing for non-exempt roles in a supply chain/distribution environment. The Staffing Coordinator be responsible for several steps of the hiring/staffing process in order to meet necessary business demands. In addition, this position will support the administration, coordination, and application of company-wide human resources policies, procedures, and practices.

PRIMARY FUNCTIONS:

  • Maintain internal and external job posting boards
  • Updating employee information in the HRIS system
  • Interfaces with the internal and external candidates by accepting applications, scheduling interviews, and giving instructions to candidates regarding the pre-employment/onboarding/transition process
  • Manage the job requisition process, including tracking in system and communicating with hiring Managers
  • Facilitate hiring events and job fairs as needed
  • Review of employment applications and evaluating work history, education, training, job skills, compensation needs, and other qualifications of applicants to determine match
  • Responsible for setting up and maintaining files for applications and HR records
  • Posting and updating requisitions in the applicant tracking system
  • Assist and/or facilitate new hire orientations, including scheduling orientation, completing paperwork, and conducting orientation sessions
  • Using social media and other creative sourcing strategies to assist with identifying top talent
  • Processing offer letter packages, pre-employment screenings, and verifying for accuracy
  • Maintain the temp-to-hire conversion process as per the monthly cadence
  • Reporting, tracking, and recruiting of job requisitions and positions
  • Lead efforts for seasonal peak recruiting, as needed
  • Keep information and data processes confidential
  • Comply with data integrity and security policies
  • Committed to executing all administrative tasks to the highest standards and in a timely manner
  • Cross-training in other HR functions, as needed
  • Multitasking and be extremely detailed while performing all tasks and reports
  • Keep work area safe, organized and clean according to general warehousing/office practices and OSHA requirements daily
  • Utilize Williams-Sonoma’s Mission, Vision, and Values to govern daily activities while maintaining required accuracy percentages, metrics and quality standards
  • Other duties as deemed necessary

MINIMUM QUALIFICATIONS:

  • High school diploma or GED
  • Excellent attendance and willingness to be part of a team – performing whatever duties are necessary
  • Minimum of two (2) years of relevant experience with full-cycle exempt recruiting, utilizing social media and sourcing techniques for recruiting, conducting interviews and managing pre-employment processes.
  • Minimum of two (2) years previous HR administrative, office, data entry, or clerical work experience
  • Three (3) years highly proficient experience in MS Word, Excel, PowerPoint and Outlook
  • Experience working with an ATS, e-Verify and other recruiting tools
  • Thorough understanding of EEO legislation and other applicable recruiting laws
  • Proven ability to work effectively within a fast-paced, high-volume and extremely deadline-oriented environment
  • Strong written and verbal communication skills necessary
  • Proven ability to balance multiple priorities and meet deadlines
  • Positive attitude, strong work ethic, ability to work under pressure, and be a fast learner
  • Flexible to work overtime as required (including weekends)

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree in Human Resources or related field

  • Four plus years of relevant experience with full-cycle exempt recruiting, utilizing social media and sourcing techniques for recruiting, conducting interviews and managing pre-employment processes.

  • Experience scheduling, organizing and implementing college recruiting efforts for both internship and full-time positions.

  • Ability to analyze data and produce reports to assist operations.
