POSITION SUMMARY:
Provide exceptional administrative and clerical support to the Vice President of/and Human Resources Department.
PRIMARY FUNCTIONS:
- Provide administrative assistance to the VP, Human Resources by maintaining and scheduling meetings/appointments in MS Outlook, arranging travel plans and coordinating other VP functions, and acting as a liaison between for VP with all areas of the organization.
- Coordinate with other organizational administrative assistants for consistency and timeliness of projects.
- Lead special projects, prepare detailed presentations, and plan events as assigned with limited assistance.
- Assist HR associates by answering relevant questions and/or directing persons to appropriate HR representatives for further assistance
- Create, maintain, and distribute comprehensive reports, files, and detailed correspondence, i.e. bimonthly newsletter, department expense reports, etc.
- Design and advertise informational content for distribution amongst current associates, new hires, and perspective candidates; i.e. flyers, seasonal guidebook, welcome packets for visiting associates, etc.
- Assist with high volume recruiting, i.e. posting jobs, reviewing applications, scheduling interviews, extending offers and new hire orientation
- Complete data entry into the HR databases, assist in the maintenance of associate personnel files and filing system, etc
- Provide general administrative support to the HR team including ordering supplies, photo copying, arranging meetings, and perform other duties as assigned
- Ensure upkeep of the main lobby by ensuring cleanliness and organization, distributing mail and packages, etc
QUALIFICATIONS:
- 2-3 years of HR administrative experience, or a related field
- Bachelor’s or Associate’s Degree Preferred
- Highly proficient experience in MS Word, Excel, PowerPoint, Publisher, Access and Outlook
- Ability to multi-task and be extremely detailed while performing all tasks and reports
- Strong organizational skills including the ability to work independently and to manage multiple priorities in a fast-paced environment.
- Excellent oral and written communication skills
- Strong interpersonal and customer service skills
- Ability to work a flexible schedule and extra hours as needed
- Excellent attendance and willingness to be a part of a team- performing whatever duties are necessary
- Bilingual (English and Spanish) preferred
