POSITION SUMMARY:
We're seeking an Administrative Assistant II to provide direct support to the EVP, Chief Supply Chain & Manufacturing Officer. This person will support the EVP/CSO and their teams with organizational and administrative duties including but not limited to calendar management, travel, expense reports, presentations and team meetings. The Administrative Assistant II will be required to work with minimal instruction or supervision and will be expected to exercise considerable judgment and initiative in the performance of his/her job responsibilities.
JOB FUNCTIONS:

Daily management of calendars & schedules

Maintain and distribute comprehensive reports, files and detailed correspondence

Identify and propose ways, in which processes and meetings can be improved to minimize processing time, create consistency and avoid mistakes and delays, and work with partners to execute improvements

Prepare visually appealing and detailed PowerPoint presentations with limited assistance

Arrange travel plans and coordinate other functions

Act as a liaison for EVP with multiple vendors and multiple departments both internally and externally

Schedule and set up department key meetings (internal and cross functional), and take extensive notes during those key meetings

Coordinate with other organizational administrative assistants for consistency and timeliness of projects

Lead special projects and plan events as assigned

Perform budget analysis and spreadsheet creation

Organize and maintain files and records
-
Receiving and hosting department guests
-
Prepare and support all team events closely
-
Other duties as assigned
REQUIREMENTS:
-
High school diploma or equivalent; Bachelor’s degree is preferred

Minimum 5 years’ experience as an Administrative / Executive Assistant in a face-paced environment
- High degree of attention to detail, meticulous and analytical with a "can do" attitude
- Computer proficiency in Microsoft Office and Power Point program a must
- High Energy with ability to always go above and beyond the call of duty
- Excellent organizational and time management skills
- Excellent verbal and written skills
- Capacity to work autonomously as well as collaboratively in a team environment
- Ability to prioritize and follow up on tasks efficiently and independently
